Core Responsibilities

Primary Functions

  • Oversee the entire vaccine inventory lifecycle, including forecasting needs, ordering, and receiving all public (VFC, 317) and private vaccine stock to maintain optimal supply levels.
  • Conduct meticulous daily, and sometimes twice-daily, monitoring and logging of vaccine storage unit temperatures, utilizing digital data loggers to ensure cold chain integrity.
  • Act as the primary point of contact and on-site expert for the federal Vaccines for Children (VFC) program, ensuring total compliance with all provider agreements, audits, and reporting requirements.
  • Manage and respond immediately to any temperature excursions or cold chain breaches, following CDC and state health department protocols for compromised vaccines and implementing corrective action plans.
  • Perform comprehensive inventory reconciliation at least monthly, comparing physical counts to records in the state Immunization Information System (IIS) and the facility's EHR.
  • Develop, implement, and annually review clinic-wide policies and procedures for vaccine storage, handling, preparation, and administration based on the latest CDC and manufacturer guidelines.
  • Train all clinical staff involved in the immunization process on proper vaccine handling, storage protocols, emergency procedures, and documentation standards, maintaining training logs for compliance.
  • Manage vaccine returns and document wastage with pinpoint accuracy, identifying trends and implementing strategies to minimize future vaccine loss.
  • Ensure all required documentation, including temperature logs, inventory records, and staff training certificates, is organized, up-to-date, and readily accessible for site visits or audits.
  • Serve as the administrator for the state's Immunization Information System (IIS), ensuring timely and accurate reporting of all administered doses and troubleshooting any data submission errors.
  • Coordinate the rotation of vaccine stock to ensure a "first-in, first-out" (FIFO) usage pattern, minimizing the risk of expiration.
  • Prepare and submit all required monthly, quarterly, and annual reports to state immunization programs, the VFC program, and internal leadership.
  • Collaborate with clinical leadership to optimize immunization workflows within the clinic, from patient screening and education to vaccine administration and documentation in the EHR.
  • Stay current on all updates from the CDC's Advisory Committee on Immunization Practices (ACIP), state health departments, and vaccine manufacturers, disseminating new information to all relevant staff.
  • Lead the preparation and execution of annual VFC recertification and compliance site visits, acting as the main point person for auditors and health department representatives.
  • Maintain and troubleshoot all vaccine storage equipment, including refrigerators, freezers, and digital data loggers, coordinating repairs and replacements as necessary.
  • Develop and maintain an emergency vaccine management plan detailing procedures for power outages, equipment failure, or natural disasters to protect vaccine inventory.
  • Educate clinical staff on proper screening for patient contraindications and precautions before vaccine administration.
  • Reconcile vaccine deliveries against packing slips and purchase orders, immediately reporting any discrepancies in product, lot number, or quantity.
  • Generate and analyze reports on immunization rates, vaccine usage, and wastage to support quality improvement initiatives and strategic planning.

Required Skills & Competencies

Educational Background
