Core Responsibilities

Primary Functions

  • Oversee and direct the day-to-day clinical and administrative operations of the vaccination clinic or program to ensure a seamless and positive patient experience.
  • Provide direct supervision, mentorship, and performance management for a team of clinical and non-clinical staff, including Registered Nurses, LPNs, Medical Assistants, and registration clerks.
  • Ensure all vaccine administration is performed in strict accordance with current clinical standards, manufacturer guidelines, and established public health protocols.
  • Act as the primary clinical expert and point of escalation for complex patient cases, adverse reaction events, and questions from staff regarding vaccine protocols.
  • Manage and maintain the integrity of the vaccine supply chain, including ordering, receiving, secure storage, and meticulous temperature monitoring (cold chain management).
  • Develop, implement, and refine clinical workflows and standard operating procedures (SOPs) to maximize efficiency, patient safety, and throughput.
  • Conduct regular quality assurance audits of clinical documentation, vaccine handling procedures, and patient charting within the Electronic Health Record (EHR) system.
  • Lead daily team huddles to communicate updates, review staffing assignments, set daily goals, and address any immediate operational challenges.
  • Ensure the vaccination site maintains a constant state of readiness and compliance with all federal, state, and local regulations, including VFC (Vaccines for Children) program requirements.
  • Monitor patient flow and staff deployment in real-time, making dynamic adjustments to staffing and resources to minimize wait times and prevent bottlenecks.
  • Manage and resolve patient complaints or concerns with professionalism and empathy, performing service recovery as needed to maintain patient satisfaction.
  • Facilitate ongoing training and competency assessments for all clinical staff on topics such as vaccine administration techniques, identifying contraindications, and managing anaphylaxis.
  • Oversee the proper management and disposal of biohazardous waste and sharps in compliance with OSHA and healthcare safety standards.
  • Serve as the on-site leader during emergency situations, directing the team's response to medical events or operational disruptions.
  • Compile and analyze operational data to prepare detailed reports on vaccination volume, staff productivity, vaccine wastage, and other key performance indicators for senior leadership.

Educational Background

Minimum Education:
