Core Responsibilities
Primary Functions
- Oversee the entire vehicle lifecycle, from strategic sourcing, procurement, and specification of new vehicles to their timely and cost-effective disposal or sale.
- Develop, implement, and manage a comprehensive preventative maintenance program to ensure vehicle reliability, minimize downtime, and extend asset life.
- Manage relationships with vendors, including maintenance providers, fuel card services, leasing companies, and upfitters, negotiating contracts and ensuring service level agreements are met.
- Ensure absolute compliance with all local, state, and federal regulations, including DOT, FMCSA, IFTA, and environmental standards, maintaining meticulous records for audits.
- Develop and manage the annual fleet budget, meticulously tracking all vehicle-related expenses, including fuel, maintenance, repairs, insurance, and depreciation to identify cost-saving opportunities.
- Supervise the vehicle assignment process, maintaining an accurate inventory of all vehicles, keys, and associated assets like fuel cards and registration documents.
- Manage the company's accident and claims process, coordinating with drivers, insurance carriers, and repair shops to ensure swift resolution and minimize costs.
- Utilize fleet management software and telematics systems to monitor vehicle location, driver behavior, fuel consumption, and maintenance alerts, translating data into actionable operational improvements.
- Direct the vehicle registration, licensing, and permitting process for the entire fleet, ensuring all units are legally operable in their designated territories.
- Lead the vehicle specification and upfitting process, working with department heads and vendors to ensure vehicles are properly equipped for their intended purpose.
- Conduct regular fleet audits to assess vehicle condition, driver compliance with policies, and overall operational readiness.
- Manage the fuel program, analyzing consumption patterns, optimizing purchasing strategies, and investigating discrepancies to control one of the largest fleet expenses.
- Establish and enforce clear policies and procedures for vehicle use, driver conduct, and safety protocols across the organization.
- Collaborate directly with the safety department to implement driver training programs focused on defensive driving, hazard awareness, and compliance with company policies.
- Provide leadership and direction to any subordinate fleet staff, such as coordinators or administrators, fostering a culture of safety, efficiency, and accountability.
Secondary Functions
- Prepare and present regular, detailed reports to senior management on key fleet metrics, including total cost of ownership, vehicle utilization, and maintenance trends.
- Evaluate and recommend new technologies, such as electric vehicles (EVs), alternative fuels, and advanced telematics, to improve efficiency and sustainability.
- Assist in the development and execution of contingency plans for vehicle-related emergencies or large-scale disruptions.
- Partner with the HR and legal departments to manage driver qualification files and address any driver performance or conduct issues related to vehicle operation.
- Analyze routes and vehicle assignments to identify opportunities for improved efficiency, reduced mileage, and better asset utilization.
- Serve as the subject matter expert on all things fleet-related, providing guidance and support to other departments as needed.
Required Skills & Competencies
Hard Skills (Technical)
- Fleet Management Software Proficiency: Expertise in using platforms like Geotab, Samsara, Fleetio, or similar systems for tracking, reporting, and management.
- Regulatory Knowledge: Deep understanding of DOT, FMCSA, EPA, IFTA, and other relevant transportation and environmental regulations.
- Vehicle Maintenance & Specification: Strong technical knowledge of vehicle mechanics, maintenance requirements, and the ability to spec vehicles for specific applications.
- Budgeting and Financial Analysis: Proven ability to develop, manage, and report on a complex budget, including TCO (Total Cost of Ownership) analysis.
- Vendor Negotiation & Contract Management: Skill in negotiating favorable terms with suppliers, service providers, and manufacturers.

Educational Background
Minimum Education:

Experience Requirements
Typical Experience Range: 5-10 years of progressive experience in fleet management, transportation, or a closely related logistics/operations role.
