Core Responsibilities

Primary Functions

  • Meticulously process and verify all vehicle sales documentation, including purchase agreements, financing contracts, and state-specific titling and registration forms, ensuring complete accuracy and compliance.
  • Act as the primary liaison between the sales team and the finance (F&I) department, facilitating the smooth flow of paperwork and ensuring all necessary documents are collected from customers.
  • Coordinate the pre-delivery inspection (PDI) and vehicle detailing process with the service department to ensure vehicles are flawlessly prepared and ready for the scheduled customer delivery time.
  • Manage the dealership's "we owe" process, diligently tracking and scheduling the installation of any additional accessories, parts, or service work promised to the customer at the time of sale.
  • Prepare and finalize the delivery packet for the sales consultant, ensuring all keys, owner's manuals, and final documents are organized and present for a professional customer handover.
  • Maintain the dealership's key tracking system, responsibly managing the location and status of all vehicle keys for new, used, and trade-in inventory.
  • Update the Dealer Management System (DMS) and Customer Relationship Management (CRM) software in real-time with customer information, deal statuses, and vehicle inventory changes.
  • Conduct comprehensive audits of deal jackets post-sale to confirm all required signatures, stipulations, and legal documents are present and correctly filed.
  • Assist in managing and reporting on vehicle inventory, including stocking in new arrivals, processing dealer trades, and reconciling physical inventory counts.
  • Communicate directly with customers to confirm delivery appointments, provide status updates on their vehicle's preparation, and answer any non-sales-related questions.
  • Process and manage trade-in vehicle paperwork, ensuring titles are clear and all necessary documents are secured to finalize the acquisition of the trade.
  • Generate and distribute daily, weekly, and monthly sales reports for management, tracking key performance indicators such as units sold, gross profit, and sales team performance.
  • Support the sales management team by preparing for and assisting with sales meetings, including compiling performance data and organizing meeting materials.
  • Handle the logistics of dealer trades, coordinating with other dealerships to manage the transfer of vehicles and associated paperwork efficiently.
  • Verify the accuracy of vehicle pricing, rebates, and incentives applied to a deal, cross-referencing with manufacturer programs and internal dealership policies.
  • Post vehicle sales and cost data into the accounting system, ensuring financial records are accurate and up-to-date for each transaction.
  • Serve as a knowledgeable point of contact for sales consultants regarding deal structure, paperwork requirements, and internal processes.
  • Manage the submission of funding packages to financial institutions, tracking the status of loan approvals and resolving any funding delays or issues.
  • Oversee the process for paying off liens on trade-in vehicles, ensuring timely and accurate payments to prevent title delays.
  • Ensure all activities are compliant with dealership policies as well as federal, state, and local regulations governing motor vehicle sales.

Secondary Functions

  • Provide backup support for the dealership's receptionist or front desk during peak times or absences.
  • Assist the marketing team with the coordination and execution of on-site sales events and promotions.
  • Participate in ongoing training sessions for new dealership software, processes, and compliance requirements.
  • Collaborate with the inventory manager to ensure online vehicle listings are accurate regarding features, status, and photos.

Required Skills & Competencies

Hard Skills (Technical)

  • DMS Proficiency: Hands-on experience with Dealer Management Systems such as Reynolds & Reynolds, CDK Global, or Dealertrack.
  • CRM Software: Competency in using automotive CRM tools like VinSolutions, DealerSocket, or Elead to manage customer and deal data.
  • Contract Processing: Deep understanding of automotive sales contracts, financing agreements, and titling/registration forms.
  • Microsoft Office Suite: Strong proficiency in Excel, Word, and Outlook for reporting, communication, and data organization.
  • Inventory Management Systems: Familiarity with software used for tracking, managing, and stocking-in vehicle inventory.
  • Title and Registration Regulations: In-depth knowledge of state-specific DMV rules and regulations.
  • Basic Accounting Principles: Ability to understand and post financial entries related to vehicle sales.

Experience Requirements

Typical Experience Range: 2-5 years of administrative, coordination, or operational experience.

Preferred: At least 2 years of experience working directly within a new or used car dealership environment. Direct experience as a Title Clerk, Biller, Dealership Administrator, or Sales Assistant is highly advantageous.
