The Vehicle Transport Intern is a developmental role designed to provide hands-on experience and support to our fast-paced vehicle logistics and transportation department. This position is integral to ensuring the seamless, efficient, and cost-effective movement of vehicle assets across our network. The intern will learn the fundamentals of transportation management by actively participating in daily operations, from scheduling and tracking shipments to communicating with carriers and analyzing performance data. This role serves as a critical support function, enabling the senior logistics team to focus on strategic initiatives while ensuring operational excellence is maintained.

Core Responsibilities

Primary Functions

  • Actively assist in the daily coordination and scheduling of vehicle movements, managing both inbound and outbound logistics to meet deadlines.
  • Diligently track and trace vehicle shipments from point of origin to final destination, providing proactive, real-time updates to internal teams and stakeholders.
  • Serve as a primary point of contact for carriers, drivers, and transport partners, communicating to confirm pickup/delivery schedules and professionally resolve on-the-ground logistical issues.
  • Maintain the integrity of our Transportation Management System (TMS) by ensuring all shipment data, status updates, and notes are entered accurately and in a timely manner.
  • Prepare, verify, and manage essential shipping documentation, including Bills of Lading (BOLs), vehicle condition reports, and gate passes.
  • Investigate and meticulously document any in-transit issues, such as damages, delays, or discrepancies, and assist the team in initiating the claims process.
  • Respond promptly and accurately to inquiries from various internal departments (e.g., Sales, Fleet, Reconditioning) regarding the status, location, and ETA of vehicle assets.
  • Collaborate closely with vehicle preparation and reconditioning centers to ensure units are fully prepared and staged for their scheduled shipment dates.
  • Provide crucial administrative support to the transport department, including high-volume data entry, organized filing, and professional correspondence.
  • Coordinate with yard personnel to manage inventory flow, ensuring vehicles are correctly staged for loading and transport efficiency.

Secondary Functions

  • Support the logistics team by auditing and processing freight invoices, verifying charges against rate confirmations and resolving any billing discrepancies.
  • Monitor and collect data on carrier performance against key performance indicators (KPIs), such as on-time delivery rates, cost per mile, and service quality.
  • Generate and distribute standard daily, weekly, and monthly reports on transportation activities, operational costs, and overall service levels for management review.
  • Participate in the analysis of transportation routes and carrier networks to help identify opportunities for significant cost savings and improved transit times.
  • Assist senior team members in the carrier relations process, including gathering data for onboarding, performance reviews, and rate negotiations.
  • Contribute to logistics-focused projects aimed at improving internal processes, implementing new technologies, or enhancing service offerings.
  • Conduct targeted research on transportation industry trends, new potential carrier partners, and emerging logistics technologies that could benefit the organization.
  • Help develop and maintain Standard Operating Procedures (SOPs) for key vehicle transport functions to ensure consistency and quality.
  • Support the resolution of escalated customer service problems that are directly related to vehicle delivery timelines or condition upon arrival.
  • Perform ad-hoc data analysis on shipping volumes, carrier rates, and fuel surcharges to support strategic departmental decision-making.
  • Ensure all coordinated transport activities are in compliance with company policies and relevant Department of Transportation (DOT) regulations.

Required Skills & Competencies

Hard Skills (Technical)

  • MS Office Proficiency: Strong capability in Microsoft Office Suite, particularly in Excel for data manipulation, creating reports, and using formulas (VLOOKUP, pivot tables).
  • Data Entry: A high degree of speed and accuracy in data entry, with a keen eye for preventing and correcting errors.
  • TMS Familiarity: Ability to quickly learn and operate within a Transportation Management System (TMS) or similar logistics software.

Educational Background

Minimum Education:
