Core Responsibilities
Primary Functions
- Manage and coordinate the end-to-end transportation process for new, used, and rental vehicles, ensuring seamless movement from origin to final destination.
- Serve as the primary point of contact for a network of carriers and drivers, communicating load assignments, route details, and delivery expectations clearly and effectively.
- Proactively monitor and track all in-transit vehicle movements using Transportation Management Systems (TMS), GPS, and other tracking technologies to anticipate and mitigate potential delays.
- Ensure absolute compliance with all Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and other state and federal transportation laws and regulations.
- Meticulously prepare, review, and manage all required shipping documentation, including bills of lading (BOLs), vehicle condition reports, and customs declarations.
- Act as a first responder for in-transit escalations, such as breakdowns, accidents, or delivery exceptions, by coordinating swift and effective solutions with all involved parties.
- Strategically plan and optimize transport routes to enhance efficiency, reduce transit times, and minimize transportation costs without sacrificing service quality.
- Cultivate and maintain strong professional relationships with third-party logistics (3PL) providers and transport carriers, including negotiating rates and service level agreements (SLAs).
- Conduct or oversee thorough vehicle inspections at pickup and delivery points, accurately documenting any damage or discrepancies on condition reports.
- Maintain a constant and professional line of communication with internal stakeholders (e.g., Sales, Fleet Management) and external clients, providing timely status updates and managing service expectations.
- Diligently audit and process carrier freight invoices, cross-referencing charges against negotiated rates and services performed to ensure billing accuracy.
- Uphold the integrity of logistics data by maintaining comprehensive and precise records of all vehicle shipments, carrier performance, and associated costs within the TMS.
- Generate and analyze key performance indicator (KPI) reports, focusing on metrics such as on-time delivery, cost-per-mile, carrier scorecarding, and damage claim frequency.
- Address and resolve customer inquiries, concerns, and complaints related to vehicle transportation with a high degree of professionalism and empathy.
- Efficiently allocate vehicle loads to drivers and assets, balancing factors like driver hours-of-service (HOS), equipment capacity, and customer delivery windows.
- Oversee the scheduling of routine maintenance and safety inspections for all company-owned transport assets to ensure operational readiness and compliance.
