Core Responsibilities

Primary Functions

  • Develop, implement, and continuously refine comprehensive vendor management strategies and programs that align with corporate objectives for cost, quality, and service.
  • Act as the central point of contact and relationship owner for a portfolio of key strategic vendors, fostering an environment of collaboration and mutual success.
  • Lead complex and high-value contract negotiations, including Master Service Agreements (MSAs), Statements of Work (SOWs), pricing models, and Service Level Agreements (SLAs) to secure favorable terms and mitigate risk.
  • Establish, monitor, and rigorously enforce vendor Key Performance Indicators (KPIs) and scorecards to track performance, drive accountability, and ensure compliance with contractual obligations.
  • Plan and conduct formal, data-driven Quarterly Business Reviews (QBRs) and executive check-ins with strategic partners to review performance, address challenges, and identify opportunities for growth and improvement.
  • Proactively identify, assess, and mitigate potential risks within the supply chain, including financial instability, operational failures, geopolitical issues, and compliance gaps.
  • Oversee the entire vendor lifecycle, from initial identification, qualification, and onboarding to performance monitoring, contract renewal, and offboarding or transition.
  • Serve as the primary escalation point for resolving complex and sensitive vendor-related issues, disputes, and service failures, ensuring timely and effective resolution.
  • Collaborate cross-functionally with internal stakeholders, including Legal, Finance, IT, and various business units, to ensure seamless vendor integration and alignment with internal policies and requirements.
  • Drive continuous improvement initiatives across the supply base by identifying inefficiencies, recommending process enhancements, and encouraging vendor innovation.
  • Conduct thorough market research and analysis to identify and vet potential new vendors, stay abreast of industry trends, and maintain a competitive, diversified supply base.
  • Manage and maintain the integrity of the contract management system or vendor database, ensuring all contracts, amendments, and key documents are current and accessible.
  • Analyze vendor spend data and total cost of ownership (TCO) to identify and execute on tangible cost-saving and value-add opportunities without compromising quality or service.
  • Develop and implement robust vendor governance frameworks, policies, and procedures to standardize interactions and ensure consistency across the organization.
  • Lead the vendor selection process, including the creation and management of Requests for Proposal (RFP), Requests for Information (RFI), and competitive bidding events.
  • Champion and communicate the organization's ethical standards, compliance requirements, and business policies to all vendors, ensuring full adherence.
  • Assess vendor capabilities and scalability to ensure they can support new business initiatives, product launches, and projected company growth.
  • Develop and manage risk management plans, including business continuity and disaster recovery strategies for critical, single-source suppliers.
  • Facilitate effective communication and information flow between vendors and internal teams to ensure clarity on project timelines, deliverables, and expectations.
  • Build and nurture strong, influential relationships with key individuals at partner companies, from operational contacts to executive leadership.

Secondary Functions

  • Support internal and external audit processes related to vendor contracts, performance, and financial controls.
  • Contribute to the development and enhancement of company-wide procurement policies, procedures, and best practices.
  • Mentor and provide guidance to junior members of the procurement or supply chain team.
  • Prepare and present insightful reports and presentations on vendor performance, market dynamics, and strategic initiatives to senior leadership.

Required Skills & Competencies

Hard Skills (Technical)

  • Contract Negotiation & Management: Proven ability to draft, review, and negotiate complex commercial contracts, with a deep understanding of legal and commercial terms.
  • Strategic Sourcing: Expertise in the full strategic sourcing lifecycle, including market analysis, RFP/RFQ management, and supplier selection.
  • Vendor Performance Management: Skill in developing and utilizing KPIs, scorecards, and dashboards to manage and improve supplier performance.
  • Financial Acumen: Strong ability to conduct cost/benefit analysis, understand total cost of ownership (TCO), and identify financial risks and opportunities.
  • Risk Assessment & Mitigation: Competency in identifying, evaluating, and creating mitigation plans for a wide range of supplier-related risks.
  • Procurement Systems Proficiency: Hands-on experience with e-procurement platforms (e.g., Coupa, Ariba) and/or ERP systems (e.g., SAP, Oracle, NetSuite).

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree

Preferred Education:

  • Professional certification such as Certified Professional in Supply Management (CPSM) is a strong plus.
