Core Responsibilities
Primary Functions
- Oversee and manage the end-to-end lifecycle of vendor relationships, from initial sourcing, qualification, and onboarding to ongoing performance evaluation and potential off-boarding.
- Develop, implement, and meticulously track Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) to monitor and evaluate vendor performance, ensuring alignment with company standards.
- Lead contract negotiations, renewals, and amendments with new and existing vendors to secure favorable terms, pricing, and conditions that support business objectives.
- Act as the primary point of contact for vendor-related issues, professionally managing and resolving disputes, discrepancies, and escalations in a timely and effective manner.
- Conduct regular business reviews (QBRs) with key vendors to discuss performance metrics, identify areas for improvement, and strategize on future partnership opportunities.
- Supervise a team of vendor coordinators or specialists, providing guidance, training, and performance feedback to build a high-performing vendor management function.
- Analyze vendor spending and performance data to identify trends, cost-saving opportunities, and areas for process optimization within the supply chain.
- Ensure all vendor activities and contracts are in strict compliance with company policies, industry regulations, and legal requirements.
- Collaborate with internal stakeholders across departments (e.g., Finance, Legal, Operations, IT) to understand their vendor needs and ensure a cohesive procurement strategy.
- Develop and maintain a comprehensive vendor database and documentation, including contracts, performance scorecards, and contact information.
- Proactively identify and mitigate potential risks within the supply base, such as financial instability, quality failures, or compliance issues, by developing contingency plans.
- Drive continuous improvement initiatives aimed at enhancing vendor management processes, tools, and workflows to increase efficiency and effectiveness.
- Manage the vendor invoice and payment process, ensuring accuracy and adherence to contractual payment terms in collaboration with the Accounts Payable department.
- Lead the Request for Proposal (RFP), Request for Quotation (RFQ), and Request for Information (RFI) processes to source and select new vendors.
- Evaluate and report on the total cost of ownership (TCO) for key vendor partnerships to provide a holistic view of supplier value.
- Champion supplier diversity initiatives and corporate social responsibility goals within the procurement and vendor selection process.
- Stay current with market trends, new technologies, and best practices in vendor management and procurement to drive innovation.
- Prepare and present detailed reports on vendor performance, cost analysis, and risk assessment to senior management.
- Establish and nurture strong, collaborative, and long-term partnerships with strategic vendors to foster mutual growth and innovation.
- Administer and maintain the Vendor Management System (VMS) or procurement software, ensuring data integrity and user adoption.
