Core Responsibilities

Primary Functions

  • Oversee the complete lifecycle of multifaceted VFX projects, from the initial bidding and script breakdown phase through to final shot delivery, ensuring all creative and technical milestones are met.
  • Develop, maintain, and meticulously track highly detailed project schedules, resource plans, and artist assignments using industry-standard software like ShotGrid (Shotgun), Ftrack, or NIM.
  • Create, manage, and report on the project budget, proactively tracking all costs, artist hours, and render resources to ensure the project remains within its financial constraints.
  • Serve as a primary point of communication, expertly bridging the gap between the client, the internal executive team, the VFX Supervisor, creative leads, and the artist floor.
  • Proactively identify, assess, and develop mitigation strategies for potential risks, production bottlenecks, and resource dependencies to prevent schedule slips and budget overruns.
  • Lead and manage the day-to-day workflow of the VFX production team, including artists, coordinators, and I/O personnel, ensuring they have clear direction and the necessary resources to complete their tasks.
  • Organize and lead key production meetings, including dailies, client reviews, and weekly production syncs, ensuring agendas are clear, notes are distributed, and action items are followed up on.
  • Work in close partnership with the VFX Supervisor to interpret client notes and feedback, translating them into actionable tasks and clear instructions for the artistic and technical teams.
  • Manage the allocation and scheduling of artists and technical resources across multiple departments (e.g., Modeling, Animation, FX, Lighting, Compositing) to maximize efficiency and utilization.
  • Generate and present regular, detailed progress reports for studio leadership and clients, clearly communicating project status, potential challenges, and upcoming milestones.
  • Facilitate the bidding process by assisting the VFX Producer with breaking down scripts, creating initial shot lists, and providing accurate estimates for schedules and resources.
  • Ensure the quality control of all outgoing deliveries to the client, verifying that all shots meet the required technical specifications, naming conventions, and creative expectations.
  • Maintain a deep understanding of the studio's specific production pipeline and workflows, constantly seeking opportunities for improvement and increased efficiency.
  • Manage client expectations regarding schedules, deliverables, and the creative review process, fostering a positive and collaborative working relationship.
  • Coordinate with department leads and the recruiting team to forecast crewing needs and participate in the hiring and onboarding of new production staff and artists.
  • Supervise and mentor the VFX Coordinators and Production Assistants on the team, delegating tasks effectively and fostering their professional growth within the company.
  • Manage the flow of data and assets into and out of the studio, coordinating with Data I/O teams to ensure secure and timely transfers from set, editorial, and other vendors.
  • Resolve interpersonal or logistical conflicts within the production team, maintaining a positive, motivated, and productive work environment under high-pressure conditions.
  • Ensure that the final project wrap is handled efficiently, including the archiving of all project data, final budget reconciliation, and the creation of post-mortem reports.
  • Stay current with emerging technologies, production methodologies, and industry trends to help keep the studio's practices competitive and innovative.

  • Support bidding producers and executive staff with ad-hoc data requests and exploratory analysis for potential new business or strategic initiatives.
  • Contribute to the evolution and documentation of the organization's overall production strategy, pipeline standards, and best-practice roadmap.
  • Collaborate with business units and technology departments to translate evolving production needs into clear software, hardware, and infrastructure requirements.
  • Participate actively in agile ceremonies and production planning sessions, representing the needs and capacity of the VFX team to the wider studio.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Proficiency in Production Management Software: Expert-level knowledge of ShotGrid (formerly Shotgun), Ftrack, or comparable industry tools for tracking, scheduling, and asset management.
  • Deep VFX Pipeline Knowledge: A comprehensive, end-to-end understanding of the entire visual effects pipeline, from on-set data capture and modeling to animation, FX, lighting, and 2D compositing.
  • Expert Scheduling and Budgeting: Proven ability to create, manage, and actualize complex project schedules and multi-million dollar budgets using Microsoft Excel, Google Sheets, or dedicated project management applications.
  • Data Management and Reporting: Skill in generating insightful reports, charts, and dashboards to communicate project health, resource utilization, and financial status to stakeholders.

Education & Experience

Educational Background

Minimum Education:

A Bachelor's degree in a relevant field or, more importantly, equivalent professional experience demonstrating a progressive career in VFX production.

Preferred Education:

A Bachelor's or Master’s degree in a relevant field, or certifications in Project Management (e.g., PMP).
