Core Responsibilities

Primary Functions

  • Oversee the complete lifecycle of multiple virtual programs, from initial planning and resource allocation to final execution, evaluation, and reporting.
  • Recruit, onboard, train, and provide ongoing supervision and professional development for a distributed team of remote program staff, facilitators, and volunteers.
  • Develop, implement, and refine program schedules, curricula, and content to ensure they are engaging, effective, and aligned with organizational standards in a virtual format.
  • Establish and maintain a strong, positive, and productive remote team culture through regular check-ins, virtual team-building activities, and clear, consistent communication.
  • Monitor and manage program budgets, ensuring all activities are delivered within financial parameters and providing detailed financial reporting to leadership.
  • Design and implement comprehensive program evaluation frameworks, utilizing both quantitative and qualitative data to measure impact, track key performance indicators (KPIs), and assess participant satisfaction.
  • Serve as the primary point of contact for program participants, addressing inquiries, resolving issues, and ensuring a high-quality, supportive, and accessible virtual experience for everyone.
  • Manage and optimize the use of virtual delivery platforms and technologies (e.g., Zoom, Microsoft Teams, LMS) to ensure smooth and effective program operations.
  • Lead the adaptation of existing in-person program models for effective and engaging delivery in a fully virtual or hybrid environment.
  • Foster and maintain strong collaborative relationships with internal departments, such as marketing, IT, and finance, to ensure cohesive program support.
  • Prepare and present regular, detailed reports on program progress, outcomes, challenges, and opportunities to senior management and key stakeholders.
  • Proactively identify risks and challenges within virtual program delivery and develop and implement effective mitigation strategies.
  • Drive continuous improvement by staying current with best practices in virtual learning, remote team management, and digital engagement technologies.
  • Ensure all program activities and materials comply with relevant organizational policies, data privacy regulations, and accessibility standards.
  • Coordinate the logistics of virtual events, including speaker scheduling, technology setup and testing, and participant registration and communication.
  • Develop and manage a robust system for tracking participant attendance, engagement, and progress throughout the program lifecycle.
  • Facilitate high-stakes or complex virtual sessions, workshops, and meetings as needed to model best practices and provide direct support.
  • Lead outreach and recruitment efforts to ensure programs meet or exceed enrollment targets, collaborating with marketing to reach target audiences.
  • Create and maintain a comprehensive knowledge base of program documentation, including standard operating procedures, training manuals, and facilitator guides.
  • Cultivate relationships with external partners, community organizations, and other stakeholders to enhance program offerings and extend our reach.
