Core Responsibilities

Primary Functions

  • Serve as the primary technical director and point of contact for live virtual events, including all-hands meetings, client-facing webinars, and multi-session conferences.
  • Expertly manage and configure virtual event platforms (like Zoom, MS Teams, Webex, and others) to build events, set up registration, and customize features like polling, Q&A, and breakout rooms.
  • Conduct comprehensive technical rehearsals and pre-event checks with all speakers and presenters to ensure their audio, video, and lighting meet quality standards.
  • Provide clear, concise technical guidance and training to internal and external presenters, helping them feel confident and prepared for the live environment.
  • Operate the virtual event platform during live sessions, managing scene transitions, spotlighting speakers, launching multimedia content, and deploying interactive elements.
  • Monitor the technical health of the live stream in real-time, proactively identifying and resolving issues related to audio, video, or platform stability.
  • Manage and support all backend production elements, including integrating third-party software like OBS or StreamYard for advanced production capabilities.
  • Act as the first line of technical support for attendees, professionally and efficiently troubleshooting connectivity, audio, and platform access issues via chat or email.
  • Oversee the management of breakout rooms, including assigning participants, broadcasting messages, and providing technical support to individual room facilitators.
  • Execute the run-of-show document in tight coordination with the event host or moderator, ensuring smooth timing and transitions between agenda items.
  • Manage the recording of all virtual sessions, ensuring high-quality capture for on-demand viewing and archival purposes.
  • Perform post-production editing of event recordings, including trimming content, adding intro/outro graphics, and preparing files for distribution.
  • Create and manage the library of on-demand video content, ensuring proper organization and accessibility on internal or external platforms.
  • Generate and analyze post-event technical reports and attendee analytics to provide insights on engagement, attendance, and overall platform performance.
  • Stay current with the latest features, updates, and best practices for major virtual event platforms and related streaming technologies.
  • Develop and maintain a comprehensive set of technical standards and best practice documentation for producing virtual events within the organization.
  • Collaborate closely with event marketers, content owners, and communications teams to align technical execution with overall program goals.
  • Configure and test custom streaming integrations, such as RTMP outputs to platforms like YouTube Live or Vimeo.
  • Manage the secure handling of sensitive information and ensure all virtual programs comply with company data privacy and security policies.
  • Provide technical consultation during the event planning phase, recommending the best platform and technical approach to achieve the desired outcomes.
