Core Responsibilities
Primary Functions
- Manage and maintain complex executive calendars, scheduling internal and external meetings, appointments, and conference calls across multiple time zones.
- Handle a high volume of email correspondence, acting as a gatekeeper to filter, prioritize, and respond to inquiries on behalf of the team or executive.
- Perform accurate and timely data entry into various business systems, including CRMs, spreadsheets, and proprietary company software, ensuring data integrity.
- Prepare, format, and proofread professional documents, including reports, presentations, proposals, and internal communications using Google Workspace and MS Office Suite.
- Conduct comprehensive online research on a variety of topics to gather and synthesize information, compiling findings into clear and actionable summaries.
- Provide exceptional first-line customer and client support via email, chat, and phone, professionally resolving issues and answering questions in a timely manner.
- Coordinate complex domestic and international travel arrangements, including booking flights, accommodations, ground transportation, and creating detailed itineraries.
- Assist with project management by tracking key deadlines, updating project status in tools like Asana or Trello, and facilitating communication among team members.
- Manage and update digital filing systems (e.g., Google Drive, Dropbox), ensuring all documents are organized, secure, and easily accessible to the team.
