Core Responsibilities

Primary Functions

  • Serve as the welcoming first point of contact for the institution, greeting prospective students, families, and industry partners with professionalism and warmth.
  • Provide comprehensive and accurate information regarding program offerings, curriculum details, tuition costs, and admissions requirements via phone, email, and in-person communication.
  • Guide prospective students through the initial stages of the admissions pipeline, from initial inquiry to application submission, ensuring a smooth and supportive experience.
  • Meticulously maintain and update student academic records, including enrollment status, attendance, grades, and personal information, within the school's Student Information System (SIS).
  • Manage the student application process by collecting, verifying, and processing all required documentation, ensuring files are complete for review by the admissions committee.
  • Provide direct administrative support to faculty and program directors, including preparing course materials, managing schedules, and communicating important updates.
  • Assist the financial aid office by distributing forms, answering basic student questions about the FAFSA process, and tracking the submission of required documents.
  • Process student tuition payments, issue receipts, and perform basic bookkeeping tasks in coordination with the business office to ensure accurate financial records.
  • Coordinate and schedule appointments for students with academic advisors, career counselors, and other support staff to facilitate access to essential services.
  • Uphold strict confidentiality of all student records and sensitive information in compliance with FERPA regulations and institutional policies.
  • Draft, format, and proofread a variety of documents, including official correspondence, student handbooks, newsletters, and internal memos.
  • Respond to and manage general inquiry email inboxes and social media messages, providing timely and helpful information or escalating as necessary.

Secondary Functions

  • Play a key role in the planning and execution of major school events, such as new student orientation, graduation ceremonies, career fairs, and open houses.
  • Conduct engaging and informative campus tours for potential students and their families, showcasing facilities, workshops, and the overall learning environment.
  • Monitor and maintain an inventory of essential office and classroom supplies, placing orders as needed to prevent disruption to daily operations.
  • Provide logistical support for the career services department, including posting job opportunities, scheduling employer visits, and assisting with resume-building workshops.
  • Generate routine reports on student enrollment, attendance trends, and other key metrics for school leadership using the SIS and spreadsheet software.
  • Assist in the compilation and organization of documentation required for state licensing, accreditation reviews, and other regulatory compliance reporting.
  • Handle all incoming and outgoing mail and deliveries, sorting and distributing them to the appropriate departments in a timely manner.
  • Collaborate with the marketing team by providing content for social media updates and assisting in the preparation of promotional materials for recruitment events.
  • Prepare and distribute official and unofficial student transcripts upon request, verifying student identity and academic standing.

  • Calendar Management: Expertise in using digital scheduling tools (e.g., Outlook Calendar, Google Calendar) to manage appointments and events for multiple stakeholders.
