Core Responsibilities

Primary Functions

  • Serve as a primary point of contact for prospective volunteers, promptly and professionally responding to email and phone inquiries regarding opportunities, requirements, and the application process.
  • Actively support volunteer recruitment initiatives by drafting and posting engaging role descriptions across various platforms, including online volunteer portals, social media, and community forums.
  • Facilitate the initial screening of volunteer applications to ensure candidates meet the basic qualifications and align with the organization's mission and values.
  • Assist in the coordination and execution of volunteer onboarding sessions and orientation programs, preparing materials and helping to create a welcoming environment for new team members.
  • Meticulously maintain the volunteer database (e.g., Volgistics, Better Impact), ensuring all contact information, service hours, and compliance documentation are accurate and up-to-date.
  • Collaborate with department heads and the Volunteer Coordinator to manage and update volunteer schedules, filling shifts and ensuring adequate coverage for programs and events.
  • Draft and distribute regular communications to the volunteer corps, including monthly newsletters, important updates, and scheduling reminders, to foster a sense of community and keep everyone informed.
  • Implement and manage a systematic process for tracking, verifying, and reporting volunteer hours for internal analysis, grant reporting, and recognition purposes.
  • Prepare, assemble, and organize essential materials for volunteer training sessions, meetings, and special events, such as informational packets, sign-in sheets, and name tags.
  • Provide crucial on-site logistical and administrative support during volunteer-led programs and community events, assisting with setup, check-in, and troubleshooting as needed.
  • Perform a variety of administrative duties to support the volunteer program, such as filing, data entry, making copies, and managing correspondence.
  • Provide direct administrative and programmatic support to the Volunteer Coordinator or Manager, assisting with calendar management, meeting preparation, and special projects.

Secondary Functions

  • Play an active role in planning and implementing volunteer appreciation initiatives, from informal thank-yous to formal recognition events, to boost morale and retention.
  • Gather and compile qualitative and quantitative feedback from volunteers through surveys and informal check-ins to help improve the overall volunteer experience.
  • Assist in matching volunteers' skills and interests with appropriate opportunities within the organization to ensure a mutually beneficial and engaging placement.
  • Generate and format routine reports detailing key volunteer metrics, such as recruitment numbers, retention rates, and total hours served, for internal stakeholders.

  • Contribute to the organization's social media presence by gathering and sharing stories, photos, and testimonials that highlight the impact of our volunteers.
  • Assist in the regular review and updating of volunteer-related documents, including handbooks, training manuals, and role descriptions, to ensure they remain current and relevant.
  • Manage the inventory of volunteer-related supplies and apparel, such as t-shirts, recognition gifts, and office materials, and coordinate re-ordering as necessary.

  • MS Office Suite Proficiency: Demonstrated ability to effectively use Microsoft Word, Excel, Outlook, and PowerPoint for communication, data tracking, and content creation.
  • Database Management: Experience with or a strong ability to learn CRM or volunteer management software (e.g., Salesforce, Volgistics, Better Impact) for accurate data entry and reporting.
  • Digital Communication: Competency in using email marketing platforms (e.g., Mailchimp) and social media channels for outreach and engagement.
