Primary Functions

  • Develop and execute a comprehensive, year-round recruitment strategy to attract a diverse and dedicated pool of volunteers, utilizing online platforms, community partnerships, and public speaking engagements.
  • Design and manage a structured and welcoming onboarding process for all new volunteers, including orientation sessions, background checks, and initial paperwork.

  • Plan and implement a robust volunteer recognition and appreciation program, including formal awards, informal acknowledgements, and appreciation events to foster a culture of gratitude and boost retention.
  • Maintain a comprehensive and accurate volunteer database or CRM system (like Volgistics, Better Impact, or Salesforce) to track hours, assignments, skills, and contact information.
  • Develop and distribute regular communications, such as newsletters, emails, and social media updates, to keep volunteers informed, engaged, and connected to the organization's impact.
  • Conduct regular evaluations of the volunteer program's effectiveness, collecting feedback through surveys and interviews to identify areas for improvement and strategic growth.
  • Collaborate with program managers and department heads to assess their volunteer needs and develop specific volunteer roles that align with organizational goals.
  • Represent the organization at community fairs, networking events, and corporate partner meetings to promote volunteer opportunities and build strategic partnerships.
  • Create and maintain up-to-date volunteer position descriptions, ensuring clarity on roles, responsibilities, and required commitments for all opportunities.
  • Manage the volunteer program budget, including tracking expenses for recruitment materials, recognition items, and training resources.
  • Ensure all volunteer activities are conducted in a safe environment and in compliance with organizational policies, procedures, and legal requirements.
  • Develop and maintain a volunteer handbook and other essential documentation, updating them regularly to reflect current best practices and policies.
  • Mediate and resolve any conflicts or issues that may arise involving volunteers, handling sensitive situations with professionalism and empathy.
  • Prepare and present regular reports on volunteer program metrics, such as recruitment numbers, retention rates, volunteer hours, and overall program impact, to leadership and stakeholders.
