Core Responsibilities

Primary Functions

  • Serve as the primary, welcoming point of contact for all incoming volunteer inquiries via email, phone, and in-person visits, providing timely and thorough information.
  • Manage the complete volunteer application lifecycle, from initial submission and review to processing background checks and ensuring all required documentation is complete.
  • Meticulously maintain and update the volunteer database (e.g., Volgistics, Better Impact, Salesforce), ensuring data integrity for contact information, availability, and service history.
  • Coordinate and schedule volunteer interviews, orientation sessions, and ongoing training, managing logistics such as room booking, material preparation, and calendar invitations.
  • Diligently track, record, and compile volunteer hours, generating regular reports for internal analysis, grant reporting, and volunteer recognition purposes.
  • Assist in drafting, designing, and distributing regular volunteer communications, including monthly newsletters, email updates on new opportunities, and important announcements.
  • Actively support volunteer recruitment efforts by posting opportunities on various online platforms, representing the organization at community fairs, and developing recruitment materials.
  • Provide essential on-site logistical and administrative support for volunteers during shifts, projects, and special events to ensure they have a productive and positive experience.
  • Collect and organize volunteer feedback, stories, and testimonials to be used for program improvement, marketing materials, and grant applications.
  • Prepare and organize all necessary materials, supplies, and equipment needed for volunteer shifts, projects, and training sessions.
  • Assist the Volunteer Manager in developing and refining volunteer position descriptions that clearly outline roles, responsibilities, and required qualifications.
  • Ensure all volunteer records and personal information are handled with the utmost confidentiality and in compliance with organizational policies.
  • Collaborate with various internal departments to understand their volunteer needs and effectively match qualified volunteers to appropriate roles and tasks.
  • Manage the inventory of volunteer program supplies, including recognition items, apparel (like t-shirts), and office materials.

Secondary Functions

  • Contribute to the planning and execution of volunteer appreciation and recognition events, from small gestures of thanks to large-scale annual celebrations.
