Core Responsibilities

Primary Functions

  • Serve as the primary, welcoming point of contact for all prospective and current volunteers, promptly and professionally responding to inquiries via email, phone, and in-person interactions.
  • Develop and execute innovative, multi-channel recruitment strategies to attract a diverse and skilled volunteer base, utilizing online portals, social media, and community outreach events.
  • Conduct thorough screening, interviewing, and background check processes for all volunteer applicants to ensure alignment with organizational values and role-specific requirements.
  • Design and deliver engaging orientation and onboarding sessions that effectively communicate the organization's mission, culture, policies, and the specific duties of various volunteer roles.
  • Create and distribute regular, compelling communications, such as newsletters, email updates, and social media content, to keep the volunteer community informed, engaged, and connected.
  • Plan and execute meaningful volunteer appreciation events and recognition programs to foster a positive, motivating environment and enhance long-term volunteer retention.
  • Maintain and meticulously update the volunteer management database or CRM system (e.g., Volgistics, Salesforce) with accurate records of volunteer profiles, hours, schedules, and engagement history.
  • Collaborate closely with program managers and department heads to assess ongoing volunteer needs, develop clear and compelling volunteer role descriptions, and ensure adequate program staffing.
  • Provide continuous support, guidance, and supervision to volunteers, acting as a resource and proactively addressing any challenges or conflicts that may arise with empathy and effective problem-solving.
  • Track, analyze, and report on key volunteer program metrics, such as recruitment numbers, retention rates, and total hours contributed, to demonstrate program impact and inform strategy.
  • Solicit, collect, and act upon feedback from volunteers and staff to drive continuous improvement initiatives for the volunteer experience and overall program effectiveness.
  • Match volunteers’ skills, interests, and availability with appropriate opportunities within the organization to maximize their personal satisfaction and programmatic impact.

Secondary Functions

  • Represent the organization at community fairs, corporate volunteer expos, and networking functions to promote volunteer opportunities and build community partnerships.
  • Develop and maintain comprehensive training materials, handbooks, and digital resources to equip volunteers with the skills and knowledge needed to succeed in their roles.
  • Assist in the logistical coordination and on-site management of special events, fundraisers, and community projects that rely heavily on volunteer support.
  • Manage the inventory of volunteer supplies, including t-shirts, name badges, and recognition materials, while adhering to the allocated budget.
  • Facilitate a smooth offboarding process for departing volunteers, including conducting exit interviews to gather valuable insights for program improvement.
  • Actively cultivate relationships with local businesses, educational institutions, and community groups to build a robust pipeline for group volunteer projects.
  • Support the development and management of the volunteer program budget by tracking expenses and ensuring the cost-effective use of resources.
  • Ensure all volunteer activities are conducted in strict compliance with organizational policies, safety procedures, and relevant legal requirements.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency in using volunteer management software (e.g., Volgistics, Better Impact, GivePulse) or similar database systems.
  • Experience with CRM platforms, particularly those used in non-profits like Salesforce for Nonprofits or Raiser's Edge.
  • Strong command of the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.
  • Demonstrated ability to use social media platforms (Facebook, Instagram, LinkedIn) for professional recruitment and community engagement.
  • Competency in generating, analyzing, and presenting data reports to track program metrics and outcomes.

Education & Experience

Educational Background

Minimum Education:
