Core Responsibilities

Primary Functions

  • Supervise daily parts operations including receiving, put-away, picking, packing, shipping, and returns to maintain continuous parts flow and meet SLA targets for production and field service.
  • Lead, coach, and schedule a team of parts associates and material handlers; conduct performance reviews, provide development plans, and recruit to maintain staffing levels aligned with demand.
  • Maintain accurate parts inventory using WMS/ERP (e.g., SAP, Oracle, JD Edwards) — perform and validate cycle counts, root-cause discrepancies, and drive corrective actions to achieve inventory accuracy targets.
  • Plan and execute periodic physical inventories and reconciliations; prepare variance reports, investigate stock differences, and implement process changes to prevent recurrence.
  • Manage parts replenishment and ordering processes: review min/max levels, generate purchase requisitions, coordinate with purchasing/vendors, and expedite critical parts to prevent production or service downtime.
  • Oversee inbound receiving and vendor inspections: validate packing lists, inspect shipments for damage or short-shipments, document claims, and coordinate vendor resolutions.
  • Optimize warehouse layout and storage strategies for parts by size, turnover, and criticality to reduce picking time and improve space utilization.
  • Enforce safe work practices and regulatory compliance (OSHA, DOT as applicable): conduct safety audits, toolbox talks, incident investigations, and corrective actions.
  • Implement and sustain continuous improvement initiatives (5S, Kaizen, Lean) to reduce lead time, scrap, and handling costs while improving throughput.
  • Manage returns, warranty, and obsolete parts flows: disposition parts, coordinate RMA processes, and update inventory records accordingly.
  • Monitor and report on key KPIs — inventory accuracy, fill rate, on-time shipping, picking productivity, shrinkage — and present results to operations leadership with recommended improvements.
  • Coordinate cross-functional communication with production planning, maintenance, field service, purchasing, and sales to prioritize parts allocation during constrained supply.
  • Execute pick-pack-ship operations for customer and internal orders, including kitting and pre-assembly of parts kits for service technicians or production sequences.
  • Maintain and update parts master data in ERP/WMS (part numbers, descriptions, tracking, bin locations, lead times, safety stock) to ensure data integrity and searchability.
  • Implement barcode/RFID labeling and scanning procedures to improve traceability, reduce errors, and speed up transactions in the warehouse.
  • Drive cost control through vendor negotiation input, freight optimization, and reduction of obsolete stock; collaborate with procurement on supplier performance.
  • Provide leadership during system upgrades or WMS/ERP implementations: define requirements, support testing, train users, and validate data migration for parts modules.
  • Manage third-party logistics (3PL) or off-site storage relationships when applicable: monitor service levels, billing, and compliance with contractual SLAs.
  • Ensure parts documentation and regulatory records (MSDS, certificates of conformance, calibration records for serialized assets) are maintained and retrievable.
  • Respond to escalated customer and field service issues related to parts availability, lead times, and order accuracy; provide timely status updates and problem resolution.
  • Develop and deliver training programs and SOPs for parts handling, picking accuracy, safety, and system use to maintain consistent operational standards.
  • Coordinate special projects such as new product introductions, seasonal demand surges, or facility expansions that impact parts planning and storage.

Secondary Functions

  • Support continuous improvement projects by providing operational insight, participating on cross-functional teams, and implementing agreed process changes.
  • Assist with budgeting and forecasting activities for parts inventory and warehouse operating expenses; provide historical usage trends and demand drivers.
  • Maintain parts catalogs, BOM/kit relationships, and interchange/alternate part references to improve parts selection and reduce mispicks.
  • Facilitate vendor returns, credits, and warranty repairs; track resolution and update inventory and financial records.
  • Support IT and data teams with warehouse-related requirements, testing, and process documentation during system enhancements.
  • Participate in internal and external audits related to inventory, quality, and safety; prepare documentation and execute corrective action plans.
  • Provide input into procurement supplier scorecards and vendor performance reviews specific to parts deliveries and quality.
  • Act as backup for related administrative functions such as order entry, invoicing verifications, and supplier communications during peak times.
  • Collaborate with field service leadership to design and maintain parts kits and van inventory strategies for remote technicians.
  • Maintain a parts obsolescence program and drive disposal or liquidation strategies to recover working capital.

Required Skills & Competencies

Hard Skills (Technical)

  • Proven proficiency with Warehouse Management Systems (WMS) and Enterprise Resource Planning (ERP) systems — examples: SAP, Oracle, JD Edwards, NetSuite.
  • Inventory control expertise: cycle counting, variance analysis, reconciliation, and stock adjustments.
  • Parts cataloging and bill-of-material (BOM) management, including parts numbering and interchange lists.

Education & Experience

Educational Background

Minimum Education:
