The Warehouse Process Specialist is a hands-on operations professional who designs, documents, and drives implementation of standardized warehouse processes and best practices to increase throughput, reduce errors, and improve safety and service levels. Working cross-functionally with operations, safety, inventory control, engineering and IT, this role analyzes workflows and data, leads Kaizen events and pilots, updates SOPs, rolls out training, and measures impact using KPIs (cycle time, order accuracy, productivity, OTIF). The ideal candidate is technically fluent with Warehouse Management Systems (WMS), RF/data capture, and Excel/BI tools, while also being a pragmatic change agent who can coach frontline teams to adopt new ways of working.

Core Responsibilities

Primary Functions

  • Lead process improvement projects across inbound, putaway, storage, picking, packing and outbound operations using Lean, Six Sigma or Kaizen methodologies to reduce lead time, improve throughput, and decrease operational cost.
  • Analyze end-to-end warehouse workflows using time-and-motion studies, process mapping and value stream mapping to identify bottlenecks, waste and opportunities for standardization.
  • Design, document and maintain clear Standard Operating Procedures (SOPs), work instructions and visual controls for all key warehouse tasks to ensure consistency, compliance and repeatability.
  • Collaborate with Warehouse Management System (WMS) and IT teams to configure system logic, optimize pick/putaway zones, batch strategies and replenishment rules that align with physical process changes.
  • Develop and implement cycle counting, inventory reconciliation and root-cause analysis programs to improve inventory accuracy and reduce adjustment-related costs.
  • Lead pilot programs for new equipment (conveyors, sorters, scanners), automation cells and layout changes, coordinating test plans, success criteria and phased rollouts.
  • Create, track and report operational KPIs (orders per hour, picks per hour, order accuracy, dock-to-stock time, on-time shipment rate) and translate results into actionable improvement plans.
  • Train, coach and support frontline supervisors and associates on new processes, WMS transactions, RF device usage and quality expectations to ensure adoption and sustained performance.
  • Develop demand-driven staffing models and resource plans using historical volume analysis and productivity standards to optimize labor allocation and minimize overtime.
  • Facilitate cross-functional problem-solving sessions with operations, safety, maintenance and procurement to quickly resolve operational disruptions and eliminate repeat incidents.
  • Manage continuous improvement backlog and project prioritization based on ROI, safety impact, and customer service improvements, ensuring transparent governance.
  • Partner with safety and compliance teams to assess process changes for OSHA/regulatory impacts and embed safe work practices into SOPs and training.
  • Conduct capacity and throughput modeling to validate layout reconfigurations, racking changes and equipment investments prior to full implementation.
  • Drive quality gate design and error-proofing (poka-yoke), including barcode validations, scan confirmations and checklists, to minimize shipments with wrong items or quantities.
  • Serve as the operational lead for seasonal capacity planning and campaign execution, aligning temporary labor, slotting and fulfillment strategies to peak demand.
  • Coordinate vendor and third-party logistics (3PL) integration efforts for process alignment, KPI harmonization and system connectivity.
  • Lead post-implementation reviews and sustainment plans for process changes to capture lessons learned, standardize successes and scale improvements across sites.
  • Prepare detailed business cases, cost-benefit analyses and executive summaries to secure capital or headcount investments needed for process improvement initiatives.
  • Maintain and update a centralized process repository and training library to accelerate onboarding and continuous learning across shifts and locations.
  • Use data analytics and BI tools to create dashboards, trend analyses and predictive insights that proactively identify capacity risks and performance degradation.
  • Establish and monitor performance incentives tied to key operational metrics while ensuring fair, measurable and transparent recognition programs.

Secondary Functions

  • Support ad-hoc operational data requests and exploratory analysis to answer leadership questions and validate hypotheses for process changes.
  • Contribute to site-level and corporate process standards, playbooks and roadmaps that align with broader supply chain strategy.
  • Collaborate with business units to translate customer, sales and product requirements into warehouse handling rules and packaging/fulfillment specifications.
  • Participate in agile continuous improvement cadences (scrums, sprints, stand-ups) to maintain momentum on prioritized initiatives.
  • Assist in supplier qualification and packing specification reviews to reduce damages, exceptions and inbound handling complexity.
  • Provide subject-matter expertise during safety audits, internal quality audits and external customer assessments related to warehouse processes.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency with Warehouse Management Systems (WMS) such as Manhattan, Blue Yonder (JDA), SAP EWM, Oracle Warehouse Management, or equivalent.
  • Strong Excel skills including advanced formulas, pivot tables, Power Query and basic VBA for data manipulation and modeling.
  • Experience with RF scanning devices, barcode systems, label standards and mobile data capture workflows.
  • Familiarity with Lean, Six Sigma (Green/Black Belt preferred), Kaizen events, root cause analysis (5 Whys), and poka-yoke techniques.
  • Ability to design and interpret process maps, value stream maps, spaghetti diagrams and time studies.
  • Business case development and ROI analysis for capital and operational investments.
  • KPI development and dashboarding experience using Power BI, Tableau or similar visualization tools.
  • Inventory management techniques including cycle counting, ABC analysis, slotting optimization and deadstock mitigation.
  • Knowledge of material handling equipment, conveyor systems, sortation and basic automation principles.
  • Experience integrating WMS with ERP, TMS or third-party systems and testing system changes in UAT environments.
  • Basic SQL or scripting skills helpful for querying large datasets (preferred but not always required).
  • Familiarity with regulatory and safety standards relevant to warehouses (OSHA, EPA, DOT where applicable).

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED required.

Preferred Education:

  • Bachelor's degree in Supply Chain Management, Industrial Engineering, Operations Management, Business Administration or a related field.
