- Coordinate equipment procurement, installation and commissioning of material handling systems (conveyors, sorters, palletizers, automated storage and retrieval systems, AGVs/AMRs), ensuring vendor deliverables meet specifications and SLAs.
- Lead WMS (Warehouse Management System) and ERP integration projects—scope design, configuration, test planning (unit, integration, UAT), data migration, go-live cutover plans and post-go-live stabilization.
- Serve as the primary point of contact for internal stakeholders (operations, IT, finance, procurement, safety) and external partners (general contractors, integrators, vendors) to align priorities and maintain transparent communications.
- Perform site surveys, facility layout design reviews, and racking and aisle optimization to maximize storage density, picking productivity and safety compliance.
- Define commissioning, start-up and acceptance criteria; plan and execute FATs/SATs (Factory/ Site Acceptance Tests), and lead go/no-go readiness reviews prior to cutover.
- Drive cross-functional readiness activities including SOP documentation, training programs, staffing plans, and operational simulation/runbooks to ensure smooth transition to new or modified warehouse processes.
- Implement risk management processes: identify project risks, create risk response plans, maintain risk register and escalate critical issues to senior leadership with recommended mitigations.
- Manage and negotiate contracts, service level agreements and warranties with contractors, integrators and equipment vendors; ensure contracts include acceptance criteria, milestones and penalty clauses as appropriate.
- Enforce safety and compliance throughout the project lifecycle — ensure contractors and internal teams follow OSHA/local regulations, site-specific safety plans, and complete safety inspections and permits before work proceeds.
- Establish and track KPIs to measure project performance and operational impact (throughput, order cycle time, order accuracy, labor productivity, inventory accuracy), and present performance dashboards to stakeholders.
- Coordinate utility and site infrastructure upgrades (power, compressed air, lighting, network/racks) and work with local authorities for permits, inspections and certificate of occupancy where applicable.
- Drive continuous improvement and Lean initiatives related to layout, picking methods (batch, wave, zone), slotting, replenishment strategies and labor balancing, using data-driven analysis and A/B testing where appropriate.
- Lead multi-disciplinary project teams, conduct daily/weekly stand-ups, manage dependencies and escalate blockers to keep projects on schedule.
- Oversee quality control and testing of warehouse systems and processes—develop test scripts, oversee defect tracking and resolution, and ensure all corrective actions are validated before handover.
- Prepare comprehensive project documentation and handover packages (as‑built drawings, warranties, operation manuals, spare parts lists, training materials) to the operations and maintenance teams.
- Manage change control—a structured process for handling scope changes, schedule impacts and cost adjustments, including stakeholder approvals and documentation of decisions and rationale.
- Collaborate with HR and labor planning to forecast staffing needs, manage training timelines, and support temporary labor ramp-ups or hiring activities tied to project milestones.
- Facilitate lessons-learned sessions and post-implementation reviews to capture best practices, update project standards and improve future project delivery.
- Ensure environmental and sustainability considerations are incorporated into designs and vendor selections, such as energy-efficient lighting, packaging reduction, and recycling plans.
- Coordinate returns, reverse logistics, and quality hold zone design when projects impact product flows to minimize disruption to customer service levels.
- Drive vendor performance management by tracking milestones, enforcing penalties where necessary, and maintaining scorecards to inform future procurement decisions.
- Oversee integration of safety systems and controls (safety guards, e-stops, light curtains) and ensure functional safety validation for automated equipment prior to live operations.
Secondary Functions
- Support cross-functional operational readiness by developing training curricula, operator checklists, and quick-reference guides for new equipment or processes.
- Assist continuous improvement teams by providing project data for value-stream mapping, time-and-motion studies and Kaizen events.
- Maintain master project documentation repositories and ensure version control for drawings, wiring diagrams and software release notes.
- Support ad-hoc executive reporting and stakeholder briefings with consolidated project status, risk heat maps and recovery plans.
- Participate in strategic planning conversations about network optimization, potential consolidation or site rationalization based on project findings and operational KPIs.
- Provide subject matter expertise for procurement evaluations, RFPs and vendor selection panels where warehouse systems or automation are in scope.
