Core Responsibilities
Primary Functions
- Receive and unload inbound shipments from carriers (LTL, TL, parcel, and couriers), verifying driver paperwork and securing trailers while following OSHA and company safety protocols.
- Inspect incoming shipments for damage, shortages, or discrepancies against packing lists, bills of lading (BOL), and advance shipping notices (ASN), and document issues with photos and notes for claims and corrective action.
- Accurately verify quantities, SKUs, lot numbers, serial numbers, and expiration dates on product received, ensuring compliance with purchase orders and quality specifications.
- Capture receipt transactions and update the Warehouse Management System (WMS) or ERP (e.g., SAP, Oracle, NetSuite) in real time using RF scanners or mobile devices to reflect accurate on-hand inventory.
- Label received goods with barcodes, location IDs, and product tags as required and prepare standardized pack and pallet configurations for putaway and storage.
- Stage inbound product for efficient putaway by zone or prepare items for immediate cross-dock based on inventory routing, pick requirements, or expedited orders.
- Move pallets and cases safely using pallet jacks, electric pallet trucks, or sit-down/stand-up forklifts (when certified), ensuring stable loads and correct stacking to avoid damage.
- Conduct initial quality inspections and basic functional checks for returns, perishables, fragile items, and temperature-sensitive goods, escalating non-conformances to quality control or management.
- Reconcile receiving records with purchase orders and accounts payable documentation, flagging invoice discrepancies and partnering with procurement to resolve supplier variances.
- Enter accurate receiving notes, discrepancies, and short-ship records into the system, creating non-conformance reports (NCRs) and prefilling documentation for vendor chargebacks or claims.
- Prioritize and coordinate multiple inbound shipments during peak seasons, coordinating with shipping docks, staging areas, and putaway teams to maintain throughput and minimize congestion.
- Maintain clean, safe receiving areas and aisles, removing debris, empty pallets, and hazardous obstructions, and adhere to lockout/tagout and warehouse safety procedures.
- Support cycle counts and periodic inventory audits by preparing receipt documentation, isolating suspect product, and helping reconcile physical counts with system inventory.
- Receive and process vendor returns (RTR) and customer returns (RMA) by validating return authorizations, inspecting condition, and routing items to returns staging, refurbishment, or disposition.
- Apply FIFO / FEFO procedures to ensure product rotation for perishable or date-sensitive items, recording lot and expiration data and notifying planners of short-dated inventory.
- Communicate proactively with carriers, suppliers, purchasing, and receiving supervisors regarding delivery ETA changes, shortages, and damaged shipments to expedite resolution and minimize production impact.
- Package and palletize small or loose items received into standardized shipping or storage configurations to reduce shrink, damage, and handling time.
- Support cross-functional teams (picking, replenishment, shipping) by coordinating on inbound priorities, staging high-priority SKUs, and assisting with short-term labor balancing when workloads spike.
- Execute basic troubleshooting on handheld scanners, label printers, and dock equipment; escalate technical issues to maintenance or IT and document downtime and impact.
- Maintain accurate paper and electronic documentation for compliance with company policies, supplier agreements, and audit requirements, organizing files to facilitate quick retrieval during audits.
- Participate in continuous improvement initiatives by suggesting process improvements for receiving workflows, document handling, labeling, or dock scheduling to increase accuracy and throughput.
- Follow temperature-controlled and cold-chain handling SOPs for refrigerated/frozen products, including wearing required PPE and monitoring temperature logs during transfer and staging.
Secondary Functions
- Assist with inbound kitting and assembly tasks when required to consolidate received components for production or customer orders.
- Help organize and prepare damaged or overage merchandise for disposition, vendor returns, or salvage, coordinating with inventory control and procurement.
- Support training of new receiving associates on procedures, WMS transactions, and safety best practices to accelerate onboarding.
- Participate in daily stand-ups, shift handovers, and communications to relay inbound priorities and status to the operations team.
- Complete routine maintenance checks on receiving equipment (dock levelers, pallet jacks, forklifts) and report any safety issues immediately.
