Core Responsibilities

Primary Functions

  • Create, maintain and optimize daily and weekly inbound receiving schedules and outbound shipping plans to meet customer service windows, maximize dock utilization and minimize carrier detention, using WMS and TMS tools to communicate appointments and track real-time status.
  • Develop and publish shift-by-shift labor and equipment schedules based on receiving and shipping volumes, SKU profiles, and historical productivity, ensuring staffing levels align with service level agreements and overtime targets.
  • Coordinate with carriers, 3PL partners and internal transportation teams to confirm arrival times, load assignments, and appointment changes; proactively manage exceptions and reroute resources to avoid bottlenecks.
  • Monitor and reconcile inbound and outbound manifests, advanced shipping notices (ASNs) and bill of lading details against expected receipts and orders, escalating discrepancies to procurement, vendor compliance, or customer service as needed.
  • Optimize put-away and replenishment sequencing by collaborating with inventory control and operations supervisors to reduce travel time, improve slotting adherence, and increase picker efficiency.
  • Use WMS and ERP systems (e.g., SAP, Oracle, Manhattan, JDA) to generate and adjust pick lists, wave releases and load plans; ensure system transactions (receipts, adjustments, transfers) are processed accurately and timely.
  • Analyze daily throughput, dock utilization, on-time shipment percentage and other KPIs; prepare and present variance reports to Operations and Supply Chain leadership with recommended corrective actions.
  • Manage production or cross-dock schedules where applicable, aligning warehouse capacity with production release windows and inbound supplier schedules to maintain continuous flow and minimize stockouts.
  • Prioritize and sequence orders for high-value, expedited or time-critical shipments, coordinating with customer service and sales to honor customer commitments and contractual delivery requirements.
  • Coordinate returns and reverse logistics scheduling including appointment booking, quarantine staging and disposition instructions to maintain throughput and minimize disruption to forward-flow operations.
  • Maintain a rolling forecast of expected inbound and outbound volumes, collaborating with demand planners and procurement to anticipate peaks, promotional events, or seasonal surges and create contingency staffing plans.
  • Implement and enforce loading dock rules, safety protocols and staging area controls to reduce damage, improve first-time compliance and support OSHA and company safety initiatives.
  • Review vendor compliance performance (on-time receipts, ASN accuracy, packaging compliance) and feed findings into vendor scorecards and corrective action plans to improve dock predictability.
  • Schedule and prioritize equipment needs (forklifts, conveyors, dock levelers) and maintenance windows in coordination with Facilities to avoid operational downtime during peak schedules.
  • Support cycle count and inventory reconciliation activities by scheduling counts in low-impact windows and coordinating with counting teams to correct discrepancies and update WMS/ERP records.
  • Facilitate daily operations meetings (dock huddles, shift handovers) to communicate schedule changes, capacity constraints, and priority loads; document actions and outcomes to ensure accountability.
  • Configure and maintain appointment slots, blackout periods and time window rules in the appointment scheduling portal or WMS to align with business rules and maximize throughput.
  • Conduct root-cause analysis for recurring scheduling failures (late trucks, inaccurate ASNs, labor shortages) and implement process improvements such as revised cut-off times, carrier routing changes, or order consolidation strategies.
  • Collaborate with procurement and suppliers to coordinate inbound shipment consolidation and cross-docking plans that reduce handling, lead time and freight costs.
  • Execute special projects such as implementing new scheduling software modules, redesigning dock layout for flow improvement, or piloting labor forecasting tools, supporting change management and end-user training.
  • Maintain accurate records of appointment confirmations, check-in/out times, detention charges and carrier performance metrics to support billing, claims and continuous improvement programs.
  • Respond to overnight or weekend exceptions as required (e.g., critical late arrivals or urgent customer shipments), coordinating resources and authorizing overtime when justified to maintain customer promises.

Secondary Functions

  • Participate in cross-functional continuous improvement (CI) initiatives, using lean principles to identify waste in scheduling and dock processes and implement Kaizen events.
  • Support training of warehouse staff and temporary labor providers on appointment procedures, staging rules and WMS transaction basics to reduce check-in errors and delays.
  • Assist procurement and planning teams with short-term inventory decisions by providing scheduled receipt visibility and estimated lead-time adjustments.
