Core Responsibilities

Primary Functions

  • Supervise day-to-day outbound shipping operations, including order picking verification, packing, staging, palletizing, labeling, and loading to ensure 100% shipping accuracy and compliance with customer and regulatory requirements.
  • Manage and develop a high-performing shipping team by hiring, training, coaching, scheduling, and conducting performance reviews to meet productivity and quality goals while reducing turnover.
  • Maintain accountability for on-time delivery (OTD/OTIF) metrics, implement corrective actions for late shipments, and proactively communicate status and risk to internal stakeholders and customers.
  • Oversee carrier coordination and freight tendering for LTL, TL, intermodal, and parcel shipments, including negotiating rates, scheduling pickups, and resolving routing or detention issues with carriers.
  • Operate and optimize Warehouse Management Systems (WMS) and tie-ins to ERP for accurate pick manifests, packing lists, BOL generation, and shipment tracking; act as escalation point for WMS exceptions and system discrepancies.
  • Ensure outbound documentation accuracy (bill of lading, packing lists, commercial invoices, export paperwork) and maintain records for audit, customs, and regulatory inspections.
  • Implement and enforce shipping SOPs, loading procedures, cargo securement, and DOT/HAZMAT handling requirements to maintain safety and regulatory compliance.
  • Lead daily shipping huddles and shift changeovers, communicate priorities, review KPIs, and allocate resources to meet fluctuating volume demands and peak-season surges.
  • Plan and execute cross-dock and flow-through processes to minimize dwell time, improve throughput, and reduce handling costs for high-turn and time-sensitive SKUs.
  • Drive continuous improvement initiatives (5S, Lean, Kaizen) to reduce packing errors, increase cube utilization, lower freight costs, and shorten cycle times.
  • Manage inventory accuracy related to outbound transactions by partnering with inventory control to reconcile shipment variances and root-cause stock discrepancies.
  • Supervise staging, sequencing, and trailer/container loading to maximize space utilization and ensure safe, secure transport while minimizing damage and shortage claims.
  • Investigate and resolve shipping exceptions, short-ships, over-shipments, and freight claims, coordinating with customer service, carriers, and suppliers to expedite resolutions and recover costs when appropriate.
  • Schedule and manage daily labor plans, overtime, and temporary resources based on forecasted shipment volumes and service-level objectives.
  • Monitor equipment and tooling needs (forklifts, pallet jacks, stretch wrappers, scales) and coordinate maintenance, inspections, and certifications to avoid operational downtime.
  • Enforce loss prevention and shrinkage controls through CCTV review, physical audits, and adherence to chain-of-custody procedures for outbound freight.
  • Prepare and present weekly and monthly operational reports (KPIs, cost per shipment, error rates, on-time performance) to management, identifying trends and recommending action plans.
  • Coordinate with procurement and warehouse receiving to prioritize replenishment of fast-moving SKUs and maintain pick-face availability to support shipping promises.
  • Lead safety initiatives, conduct daily safety briefings, incident investigations, and ensure team training in OSHA, PPE, lockout/tagout, and safe material handling practices.
  • Execute weekend/or off-shift shipping strategies and act as on-call leadership for escalations to support continuous operations and urgent customer shipments.
  • Maintain a clean, organized, and compliant shipping dock environment that supports efficient loading/unloading, safe traffic flow, and clear signage.
  • Collaborate with IT and systems teams on WMS configuration, barcode standards, RF scanner rollouts, and automation projects (conveyor, sortation) to scale throughput.
  • Drive cost-control measures by improving pallet optimization, negotiating carrier accessorials, auditing freight invoices, and recommending mode optimization strategies.
  • Provide hands-on backup performing shipping tasks during peak periods to ensure continuity of service and lead-by-example leadership during high-volume windows.

Secondary Functions

  • Support cross-functional projects such as implementing outbound automation, carrier integrations, or SKU rationalization that impact shipping operations.
  • Assist in warehouse audits and third-party inspections, supply required documentation, and implement corrective actions from audit findings.
  • Partner with customer service and sales to support special shipments, expedited orders, and customer-specific packing or labeling requests.
  • Contribute to continuous improvement workshops, pilot new packing materials, and test packing configurations to reduce dimensional weight and freight spend.
  • Provide training materials, SOP updates, and onboarding for new shipping hires and temporary staff during peak seasons.
  • Serve as backup liaison for receiving and inventory control to ensure end-to-end flow visibility when needed.
  • Maintain supplier and carrier contact lists, escalation procedures, and service level agreements for rapid issue remediation.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency with Warehouse Management Systems (WMS) such as Blue Yonder, Manhattan, SAP EWM, or Oracle WMS; comfortable troubleshooting WMS exceptions and reconciling pick/ship discrepancies.
  • Strong experience with ERP integration for shipping transactions (SAP, Oracle, Microsoft Dynamics) and generating shipping/financial exports.
  • Hands-on knowledge of shipping documentation: bills of lading (BOL), commercial invoices, packing lists, NAFTA/USMCA, and export compliance basics.
  • Carrier management and freight tendering experience (LTL/TL/parcel), including rate negotiation, transit optimization, and freight claim resolution.
  • Operational knowledge of DOT, HAZMAT class handling, and OSHA safety standards applicable to loading and transportation.
  • Forklift operator familiarity and certification management; experience with powered industrial trucks and dock equipment operations.
  • Proficient in Microsoft Excel for reporting and analysis (pivot tables, VLOOKUP/XLOOKUP, SUMIFS) and experience with KPI dashboards or Power BI preferred.
  • Experience with RF scanning, barcode standards (GS1), labeling systems, and handheld device workflows.
  • Familiarity with lean tools (5S, Kaizen, root cause analysis) and process mapping to drive outbound efficiency improvements.
  • Basic understanding of dimensional weight pricing, palletization strategies, and load planning software/tools.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or equivalent (required).

Preferred Education:

  • Associate’s or Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Operations Management, or related field (preferred).

Typical Experience Range:

  • 5+ years of distribution center experience with demonstrated success managing shipping teams and meeting OTIF targets.
  • Experience managing teams of 10–50 associates, working with third-party logistics providers (3PLs), and implementing WMS/ERP-driven improvements.
  • Certifications such as OSHA 10/30, forklift operator certification, or logistics/supply chain credentials (e.g., CSCP, CPIM) are highly desirable.
