Core Responsibilities
Primary Functions
- Own day-to-day inventory integrity by managing cycle count programs, scheduling physical inventories, validating count results, investigating discrepancies, and driving corrective actions with warehouse supervisors and suppliers.
- Maintain and reconcile perpetual inventory records in the Warehouse Management System (WMS) and ERP, ensuring SKU locations, lot numbers, serial numbers and quantities are accurate and up-to-date.
- Analyze daily and weekly inventory reports to identify slow-moving, obsolete or excess stock; develop recommendations for disposition, promotion or rebalancing to optimize working capital and storage utilization.
- Lead root-cause analysis for stock variances by reviewing receiving records, put-away transactions, picking records, and shipping confirmations to identify upstream process or system issues.
- Create, maintain and distribute standardized inventory KPIs and dashboards (cycle count accuracy, shrinkage rate, days of inventory, fill rate, stockouts) to operations, procurement and finance stakeholders.
- Generate ad-hoc and scheduled reports using Excel, SQL and BI tools (Power BI/Tableau) to quantify stock performance, forecast shortfalls, and support purchasing decisions.
- Collaborate with procurement to align reorder points, safety stock and lead-time assumptions based on historical usage, seasonality and supplier performance.
- Support order fulfillment by monitoring critical SKUs, identifying allocation risks, and coordinating expedited replenishment or transfers between facilities when required.
- Validate inbound receipts and vendor compliance by reconciling purchase orders, ASN data, carrier paperwork and receiving QC notes to prevent inventory mis-postings.
- Implement and document warehouse processes for cycle counting, returns handling, kitting, lot control and FIFO/LIFO compliance to ensure regulatory and audit readiness.
- Coordinate with IT and WMS administrators to manage inventory master data—creating and maintaining item records, storage locations, UOM conversions, and barcode/RFID mappings.
- Drive continuous process improvements and cost savings initiatives related to inventory carrying costs, dock-to-stock lead time, and picking efficiency through kaizen, 5S, and SOP optimization.
- Participate in monthly close and inventory valuation processes by providing reconciliations, investigation findings and journal entry support to finance.
- Manage returns to vendors (RTV) and customer returns workflows by verifying return authorizations, dispositioning items, and updating inventory counts accordingly.
- Support cycle count auditors and external inventory auditors by preparing documentation, explaining variance trends and implementing remediation plans.
- Provide training and coaching to warehouse staff on inventory best practices, system transaction accuracy, barcode scanning procedures and damage/shortage reporting.
- Monitor and enforce compliance with safety, labeling and hazardous materials storage rules related to stock handling and location management.
- Use forecast consumption and lead-time data to run inventory simulations, scenario modeling and what-if analyses to recommend optimal safety stock and reorder strategy.
- Develop and maintain SKU-level documentation including item criticality, storage conditions, replenishment logic and cross-dock rules to reduce mis-picks and handling errors.
- Manage inter-warehouse transfers and work with transportation planners to schedule movements, update stock transfers in ERP/WMS and confirm receipt at destination locations.
- Collaborate with product, manufacturing and sales teams during new product introductions (NPI) to set initial stocking levels, create lot/serial controls and define receiving/picking processes.
Secondary Functions
- Support process automation projects by defining business requirements for WMS enhancements, barcode/RFID implementations, and integration with ERP or TMS systems.
- Assist supply chain and procurement teams with ad-hoc inventory projections and safety stock reviews during promotions, product phase-outs or seasonal surges.
- Participate in cross-functional root-cause investigations for customer complaints related to missing, damaged or incorrect shipments and implement preventive actions.
- Help define data governance standards for inventory master data, ensuring consistent attribute usage and eliminating duplicate or stale items.
- Contribute to cycle count cadence optimization by applying ABC/XYZ analysis to target high-risk SKUs more frequently and free up resources on low-impact inventory.
- Serve as a subject-matter-expert during WMS/ERP upgrades, testing inventory transaction flows, validating cutover reconciliations and training end users.
- Prepare and present monthly inventory performance reviews to senior leadership, highlighting trends, risks and action plans to improve fill rates and reduce shrink.
- Support vendor audits and supplier quality initiatives by providing historical receiving data, damage reports and inbound performance metrics.
- Lead small project teams to implement layout changes, bin re-slotting and capacity planning to reduce travel time and improve picking accuracy.
- Maintain documentation for inventory policies and procedures, ensuring continuous improvement and standard operating procedures are accessible and current.
Required Skills & Competencies
Hard Skills (Technical)
- Advanced Excel (VLOOKUP/XLOOKUP, INDEX/MATCH, pivot tables, Power Query, macros) for analytical reporting and reconciliations.
- SQL querying to extract, validate and manipulate inventory and transaction data from WMS/ERP databases.
- Hands-on experience with Warehouse Management Systems (WMS) such as Manhattan, Oracle WMS, SAP EWM, Blue Yonder or NetSuite WMS.
