Core Responsibilities
Primary Functions
- Coordinate day-to-day program operations: schedule and track residential and commercial collection services, coordinate special collection events (e.g., HHW/CRT drop-offs), and liaise with contractors and collection vendors to ensure on-time performance and compliance with service agreements.
- Maintain and update program databases and spreadsheets, including material tonnage, service requests, route changes, billing adjustments, and diversion metrics, to support accurate monthly and annual reporting.
- Prepare, draft, and finalize reports for internal stakeholders, regulatory agencies, and the public, including monthly diversion summaries, incident reports, grant deliverables, and contract compliance documentation.
- Perform routine site inspections and field visits at transfer stations, drop-off centers, or special event sites to document operations, verify signage and labeling, and report health & safety or compliance issues to supervisors.
- Support hazardous and universal waste handling protocols by coordinating manifests, chain-of-custody documentation, scheduling pickups with authorized haulers, and ensuring proper storage and labeling of regulated materials.
- Assist with permitting and regulatory compliance tasks: compile supporting documentation, track permit expiration dates, respond to routine information requests from regulators, and implement corrective actions identified during inspections.
- Plan and coordinate community engagement and education initiatives: develop outreach materials, schedule workshops and presentations, staff public events, and measure outreach impact through surveys and participation metrics.
- Manage and respond to public inquiries and service requests via phone, email, and an online portal; troubleshoot common issues, escalate complex matters, and maintain a log of customer interactions and resolutions.

- Maintain inventory of program supplies and equipment (e.g., signage, outreach materials, PPE, sampling kits), place purchase requests, and coordinate repair or replacement of field equipment.
- Coordinate volunteer programs, internship assignments, and temporary staffing for special events and cleanup efforts; provide orientation, assign tasks, and ensure adherence to safety protocols.

- Assist in enforcement and compliance outreach efforts by preparing warning letters, documenting violations, coordinating follow-up inspections, and supporting the escalation process to enforcement staff when necessary.
- Participate in emergency response and spill or incident coordination for waste-related events: notify supervisors, document the incident, liaise with emergency responders, and assist with incident reports and corrective actions.
- Support development and implementation of pilot programs (e.g., organics collection, mattress recycling, take-back programs): perform baseline research, coordinate stakeholders, track metrics, and prepare pilot evaluations and recommendations.
- Coordinate multi-departmental meetings, prepare agendas and meeting minutes, and follow up with action items to ensure timely resolution of cross-functional tasks.
