Primary Functions

  • Lead the design, development, and rollout of standardized Microsoft Word templates and content controls that enforce brand, legal, and style guidelines while enabling rapid document creation for business users.

  • Lead template QA and acceptance testing workflows, including functional test cases, accessibility checks (WCAG/Section 508), and cross-platform validation across Word for Windows, Mac, and Office Online.
  • Manage integration and synchronization of Word templates and generated documents with SharePoint, OneDrive, Teams, and other Office 365 services, ensuring correct metadata, storage policies, and retention rules.
  • Provide subject-matter expertise on complex Word features (styles, themes, content controls, conditional fields, quick parts, and tracked changes) and create best-practice documentation for authors.
  • Conduct root-cause analysis for recurring document errors, broken styles, and formatting regressions, and implement process improvements or automated fixes to reduce future incidents.
  • Design and deliver instructor-led and on-demand training programs for end users, templates owners, and content authors to increase adoption and proper usage of Word templates and automation.
  • Serve as the escalation point for high-impact document incidents and lead cross-functional remediation efforts that include content recovery, template rollback, and user communication.
  • Maintain a prioritized backlog of template enhancements, bug fixes, and automation requests; coordinate with IT and product teams to schedule development, testing, and releases.
  • Create and manage template metadata, taxonomy, and search optimization to ensure users can quickly discover the correct templates and reduce misuse of off-brand or deprecated documents.
  • Implement and enforce security measures for macros and automation logic, including code signing, least-privilege execution patterns, and alignment with corporate endpoint protection policies.
  • Partner with legal and records management to implement document retention, e-signature compatibility, and archiving strategies for documents generated from Word templates.
  • Monitor usage metrics and KPIs for template adoption, time-to-author, error rates, and support ticket volumes; present regular reports to stakeholders and recommend measurable improvements.
  • Pilot and evaluate third-party document automation and template management vendors to determine feasibility, ROI, and integration complexity with existing Microsoft 365 infrastructure.
  • Localize templates and automation processes for global teams, coordinating translation workflows, right-to-left layout checks, and locale-specific formatting for date, currency, and regulatory content.
  • Maintain an up-to-date knowledge base and searchable FAQ for common Word issues, template configuration steps, macro usage, and troubleshooting guides to reduce repetitive support requests.
  • Coordinate cross-functional user acceptance testing (UAT) for template releases and feature changes, collecting feedback, managing defects, and ensuring release readiness.
  • Establish and maintain template lifecycle policies (deprecation, archival, and replacement) and run periodic template audits to maintain accuracy and compliance across all organizational units.
  • Advise product and IT teams on Word compatibility considerations during platform upgrades, migrations, and Office 365 rollout activities to avoid large-scale document breakages.
