Core Responsibilities

Primary Functions

  • Develop, implement, and continuously refine a comprehensive group fitness schedule that balances member demand, instructor availability, and facility capacity to maximize attendance and revenue.
  • Recruit, interview, onboard, and mentor a diverse team of group fitness instructors and contract trainers, ensuring each instructor meets brand standards and delivers consistent, high-quality classes.
  • Create and maintain standardized class curriculums, lesson plans, and instructor manuals to ensure program consistency, progression, and measurable outcomes across all group fitness offerings.
  • Lead class quality assurance by auditing classes, providing constructive feedback, delivering in-person coaching, and running regular instructor training workshops and certifications.
  • Design themed fitness series, challenges, and seasonal programs (e.g., 6-week transformation, virtual hybrid classes) that increase member engagement and upsell opportunities.
  • Monitor class attendance, conversion rates, and member feedback using club management software and analytics tools to identify trends, optimize offerings, and report on KPIs.
  • Build and execute marketing and promotional plans in collaboration with marketing teams to drive class attendance, promote specialty events, and grow community awareness (email, social, in-club signage).
  • Create individualized and small-group training pathways and progression tracks to support member goals and facilitate cross-sell to personal training or premium programs.
  • Manage instructor scheduling, payroll, and time-off requests, balancing coverage needs with labor cost targets and class demand forecasts.
  • Ensure all classes and training activities comply with industry safety standards and local regulations, including supervising safety checks, equipment inspections, and emergency preparedness drills.
  • Deliver occasional classes and workshops to model brand standards, introduce new formats, and maintain direct member contact and credibility within the community.
  • Oversee the maintenance, inventory, and procurement of fitness equipment and consumables (mats, weights, AV), coordinating repairs and replacement to avoid service interruptions.
  • Collaborate with membership sales, operations, and childcare teams to design onboarding flows for new members that include appropriate fitness program recommendations and trial class experiences.
  • Lead special events and community outreach (open houses, charity workouts, partner activations) to strengthen member loyalty, attract new prospects, and create local partnerships.
  • Implement retention activities such as attendance recovery campaigns, class challenge follow-ups, and targeted messaging for inactive members to reduce churn.
  • Establish and manage program budgets, forecast revenue from specialty classes and workshops, and deliver monthly financial reports to senior leadership.
  • Maintain accurate records of instructor certifications, continuing education credits, background checks, and required first aid/CPR/AED documentation.
  • Use CRM and club management platforms to track member preferences, class history, sign-ups, and waitlists; leverage data to personalize outreach and program offerings.
  • Coordinate virtual and hybrid class delivery including live streaming logistics, on-demand content curation, and instructor tech training to expand remote member engagement.
  • Facilitate regular cross-functional meetings with sales, operations, and marketing to align on promotions, product launches, and member experience initiatives.
  • Respond promptly to member complaints or incidents arising from fitness classes, conduct incident reports, and implement remediation plans to prevent recurrence.
  • Develop performance metrics and career development plans for the instructor team, conducting quarterly reviews and setting training priorities aligned to business goals.

Secondary Functions

  • Support operational ad-hoc requests such as room setup, signage, and AV troubleshooting for classes and events.
  • Contribute to the organization’s strategic roadmap by identifying new fitness trends and recommending program investments (equipment, certifications, or new class formats).
  • Collaborate with wellness partners (nutritionists, physiotherapists) to create integrated health offerings and referral pathways.
  • Assist with member onboarding campaigns, including introductory class bundles and orientation materials to improve first-30-day activation.

Required Skills & Competencies

Hard Skills (Technical)

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or equivalent.

Preferred Education:

  • Bachelor’s degree in Kinesiology, Exercise Science, Sports Management, Physical Education, or a related field.

Experience Requirements

Typical Experience Range:

Certified personal trainer or group fitness certification (ACE, NASM, AFAA, Stott, TRX or equivalent) and current CPR/AED and First Aid certification preferred.
