Core Responsibilities

Primary Functions

  • Supervise, coach, and develop frontline workplace staff (including custodial, security, reception, and maintenance personnel), conducting regular performance reviews, setting clear expectations, and implementing development plans to maintain high productivity and morale.
  • Create, manage, and optimize daily and weekly staff schedules to ensure consistent coverage for all shifts, minimize overtime, and quickly identify and fill gaps to maintain seamless workplace operations.
  • Lead onboarding and training programs for new hires and temporary staff on site policies, workplace procedures, emergency protocols, and customer service standards, ensuring competency and compliance from day one.
  • Monitor workplace health, safety, and environmental compliance (including OSHA, local regulations, and internal policies), conduct regular site inspections, log hazards, and drive corrective actions to reduce incidents and near misses.
  • Investigate workplace incidents, accidents, and complaints thoroughly, prepare factual incident reports, coordinate with HR and health & safety teams, and implement preventive measures to avoid recurrence.
  • Manage building systems and routine facilities maintenance activities (HVAC coordination, lighting, plumbing, elevators) by scheduling preventive maintenance, logging service requests, and ensuring timely resolution with in-house technicians or external vendors.
  • Oversee vendor and contractor relationships on-site, including scope verification, work acceptance, contract compliance, site induction, safety briefings, and invoice validation to ensure quality service delivery and cost control.
  • Control inventory of supplies, PPE, cleaning chemicals, and parts, maintain par levels, perform cycle counts, and place orders or initiate procurement requests to avoid stockouts and support uninterrupted operations.
  • Champion customer service and workplace experience by addressing employee and visitor inquiries, resolving escalations, maintaining reception standards, and implementing initiatives that improve employee satisfaction metrics.
  • Enforce site access control, security procedures, and key/card management processes; coordinate with security teams to respond to alarms, investigations, and suspicious activity to protect people and assets.
  • Maintain accurate timekeeping and attendance records, support payroll input processes, approve timesheets, and work with HR to manage leave, accommodations, and shift swap requests according to policy.
  • Prepare operational reports, KPI dashboards, and weekly status summaries (including occupancy, incident rates, work order backlog, and vendor performance) for site leadership and corporate stakeholders to inform decisions.
  • Execute space utilization and workplace setup tasks for moves, setups, or reconfigurations of desks, meeting rooms, and collaborative areas while coordinating with IT and facilities planners to minimize business disruption.
  • Implement and monitor workplace cleaning and sanitation protocols (including enhanced cleaning programs), especially during health events, to maintain hygienic standards and reduce absenteeism risk.
  • Manage budget items at the site level including petty cash, operational expenditures, and minor capital projects; track spending, raise purchase requests, and identify cost-saving opportunities without compromising service.
  • Facilitate regular workplace drills (fire, evacuation, active assailant, medical emergency) and training sessions; maintain drill logs, feedback, and follow-up corrective actions to ensure readiness.
  • Support HR in employee relations matters by documenting performance issues, participating in disciplinary meetings, providing coaching, and recommending progressive action when necessary.
  • Coordinate with IT and telecom teams for on-site technical issues, equipment provisioning, and conference room functionality to ensure minimal downtime and secure connectivity.
  • Drive continuous improvement initiatives by collecting frontline feedback, implementing pilot programs (efficiency, sustainability, ergonomics), and measuring impact for broader rollout.
  • Ensure compliance with company policies related to environmental sustainability, waste management, recycling programs, and energy conservation at the site level.
  • Administer daily opening and closing procedures for the facility, including security sweeps, system checks, cash handling reconciliation (if applicable), and logging operational anomalies.
  • Manage special events and after-hours activities on site by coordinating logistics, staffing, vendor access, and post-event cleanup while ensuring adherence to policies and space usage rules.

Educational Background
